Flexibility = Big Savings

A key factor I like to point out to my clients is flexibility when budgeting travel and there are three areas to consider.  These are time of day, day of the week, and geographic range.  Any one of these can make a huge difference in cost and should be looked at when putting together a meeting.  Let’s take a quick look.

We are all aware that airfares vary greatly depending on many factors, so it should always be considered when planning a corporate retreat to adjust arrival and departure days around the lowest fares.  Even the time of day can be important in saving money. Airlines many times have “flight specific” fares, which might mean the difference of several hundred dollars.  All this money could then be spent on meeting functions and entertainment rather than transportation adding value to your event. 

Another factor often overlooked is geographic location of the destination.  There are several instances whereby leaving or arriving at a neighboring city or regional airport can produce tremendous savings.  Weighing the cost of driving an extra half hour or so against hundreds of dollars again can create value in your meeting experience.
